Conference guests agree to the following policies, as well as other applicable University policies and procedures for conference housing included in the attached document entitled “Trinity Washington University Department of Conference Services Housing Policies”. Policies are subject to change. Any updates will be distributed to conference guests, at which time all guests are responsible for adhering to the most recent policies and procedures.
1)Conference guests are a licensee of owner (the University) and not a tenant
2)Submission of this agreement does not guarantee housing if deposit requirements are not fulfilled.
3)Payment
3.a. Conference guests must submit a non-refundable room deposit (see terms below) at time of booking (which will be applied to your total housing charges) and pay the full balance no less than 24 hours prior to check-in.
3.b Deposit Guidelines:
* Accommodations for one week or less: Deposit equivalent to one night’s stay
* Accommodations greater than one week: Deposit equivalent to one week’s stay
4)Conference guests are liable for room and/or common building damage.
5)Failure to make full payment by specified deadline may result in forfeiture of the deposit and exclusion from the conference housing program (including exclusion from the University campus)
6)Payment plans are exclusively available for guests requiring lodging beyond 4 weeks, and are made at the discretion of the Conference Services Director.
7)Cancellations will result in:
7.a.Forfeiture of room deposit for cancellation prior to the contracted check-in date or failure to check-in
7.b.Forfeiture of 100% of remaining housing payment for charges should you decide to check-out prior to the end date this agreement or if housing is terminated because you breach the terms of this agreement
7.c.Extensions of this agreement are at the discretion of the Conference Services Director, and must be confirmed in writi with an amended housing agreement.
7.d.A charge of $75 per day applies for failure to check-out by 3:00 pm on the agreed check-out date stated
7.e.Failure to check-out by the specified deadline could also result in the removal of any personal property remaining in the occupied room.
7.f.Any property removed from the facility will be stored with the Department of Public Safety, only to be accessed by the conference guest for immediate removal from campus premises
8)The University is not liable for the failure or interruption of any utilities and/or air conditioning, or for the conditions resulting from such an interruption
9)The University reserves the right at its discretion, to reassign accommodations as necessary
10)The University is not responsible for the theft, loss, damage, or destruction of personal property, or for unknown housing conditions or other conditions beyond its control
Licensees should obtain a personal insurance policy to cover personal property.As in accordance with the applicable provisions of federal law the University conference housing is open to all eligible persons, regardless of gender, race, religion, age, national origin or citizenship status, disability or veteran status. The University provides reasonable accommodations to qualified individuals with disabilities upon request and appropriate documentation.
